Klaviyo flows for the Polish market: transferred, checked, launched

For a supplement brand with several million euros in monthly revenue, we set up email marketing in Klaviyo for Poland for the launch of the Polish store in autumn 2026: consent, flows, forms and a clean separation of languages.

A mature German setup that needed to run just as smoothly in Poland.

The brand already had a mature Klaviyo setup for the German market. For the Polish launch, the relevant flows needed to be properly localised and set up in a separate Polish structure.

The brief was clear: adopt what exists, don’t reinvent it. The work was in the details. Links had to point to Polish pages, discounts had to work in złoty, graphics contained German text, and for some customer profiles the language was not clear.

We transfer, build and check. Design and approvals come from the brand.

An honest split: what we do ourselves and what others contribute.

Our part

Transfer, technology, checks

  • Inventory of the German flows and templates
  • Localisation from German to Polish: subject line, preview text, copy, buttons, alt texts and footer
  • Polish list, consent pages and forms
  • Language assignment and switchover of the flows
  • Design briefings and integration of the delivered graphics
  • Quality control, tests and activation after approval

The email design and all graphics come from the brand’s team. Our part is the transfer, the technology behind it and the checks.

What is running for Poland today.

Flows localised

Live

The existing German flows have also been running in Polish since autumn 2026. Individual emails remain drafts on purpose.

  • Welcome
  • Checkout welcome and abandoned checkout
  • Order and shipping confirmation
  • Post purchase

Consent in Polish

Live
  • A separate Polish newsletter list
  • Sign-up, confirmation, double opt-in, preference and unsubscribe pages
  • Programmed pages extended with Polish without changing the other languages

Forms in the store

Live
  • Newsletter section in the Polish store connected to the Polish list
  • Pop-ups for desktop and mobile based on existing templates
  • Sign-up, double opt-in, first welcome email and unsubscribe tested successfully

Links and discounts

Checked
  • Links in the emails switched to Polish targets
  • Discount codes checked in złoty in test carts, without a real order

Transactional emails

Live

Order and shipping confirmations were requested and approved as transactional in Klaviyo. That way they also reach customers without newsletter consent.

More flows

Prepared

More flows are prepared as drafts and only go live after the checks and the brand’s approval.

Where care mattered.

Language is not the same as country

Who gets Polish emails? The answer was less clear-cut than it sounds.

Problem

Some customer profiles had conflicting data on language, store language and country. If assigned wrongly, someone signing up in Polish would have received German emails, or both.

Decision

Only clearly Polish profiles enter the Polish flows. Conflicting profiles are blocked instead of guessed.

Solution

Fixed assignment rules, exclusion of Polish profiles from the German flows and test cases run through before launch.

Status

Live since autumn 2026.

Switching between language versions in a controlled way

German and Polish flows had to hand over cleanly during live operation.

Problem

During the switch, nobody may slip through and nobody may receive emails twice.

Decision

A fixed order for each flow pair: first activate the Polish flow, then restrict the German one.

Solution

A documented process with a way back. We openly named a short possible overlap window instead of keeping quiet about it.

Status

All flow pairs switched over in autumn 2026.

Clean handovers and fixed checks before every go-live.

Design briefings

  • One task per email
  • Link to the Polish template and the original graphic
  • Final Polish copy for every element
  • All individual frames of animated GIFs
  • Design status at the top, open items marked
  • Then integration of the delivered graphics, checked on desktop and mobile

Quality control

  • Saved starting point and before and after comparisons
  • Changed content and settings rechecked in Klaviyo
  • Desktop and mobile previews of the edited emails
  • Search for forgotten placeholders
  • Checks for Gmail clipping, links and landing pages
  • Live tests with approved test addresses
  • Reports always separated into done, prepared and open

Inventory and translation

  • Inventory of all German flows and templates
  • Polish copy for subject line, preview text, content, buttons and alt texts
  • German text in GIF graphics captured and translated for design
  • Link inventory across all emails

Approvals and coordination

  • Flows only go live after explicit approval
  • Coordination with the brand and design
  • Every message to the brand comes directly from us
  • The final review is with the brand

What is running and what we don’t claim.

What we don’t claim

We don’t state open, click or revenue figures for Poland here. The channel has only been running since autumn 2026. We will only share figures once they are meaningful and approved by the brand.

What’s next

More flows are prepared as drafts. Before go-live, the remaining functional checks and the brand’s approval will follow.
